1.       Project Description

This project studies the present communication channel being used by employers in requesting Unirazak students qualified for employment. The proposed system is aimed at automating and creating a dedicated channel for the student recruitment process. This system is targeted at employers, recruitment agents and the members of staff and students of the faculty of Information technology, Unirazak to assist them in the recruitment process. Employers and recruitment agents can post vacancies and also advertise, lecturers can make recommendations while students can post their resume and apply for vacancies. The system also allows communication amongst employers, recruitment agents, lecturer and students.
 

2.       Business Objectives and Success Criteria

There would be some cash income for the university through the advertisements by different companies. Besides that, it would increase UNIRAZAK’s affiliations all over Malaysia as companies would be able to deal direct with the faculty of IT. To add on, it would increase the student enrolment for IT courses as the employment rate of UNIRAZAK IT student would be high.

4.       Vision

This system is targeted at employers, recruitment agents and the members of staff and students of the faculty of Information technology, UNIRAZAK to assist them in the recruitment process. The system is known as UNIRAZAK Online Student Recruitment System that is aimed at automating and creating a dedicated channel for the student recruitment process. Employers and recruitment agents can post vacancies and also advertise, lecturers can make recommendations while students can post their resume and apply for vacancies. The system also allows communication amongst employers, recruitment agents, lecturer and students. Unlike the existing system which is totally manual in nature, the employers only informs the university staff of their need of UNIRAZAK student for employment through traditional means like face to face, letters, phone calls, emails and so on.

Determining the context of the project means defining the specific boundaries, or extent of the project. For the purpose of this project, our task is to develop an Online Student Recruitment System for UNIRAZAK which is an operational system. The system is to facilitate the recruitment process of UNIRAZAK IT students. The end users of the system are the Malaysian employers, Malaysian recruitment agents, UNIRAZAK IT students and the UNIRAZAK faculty of IT, each performing a different duty towards achieving the universities goals and objectives.

The existing system of the UOSRS is totally manual in nature, Where the employers only informs the university staff of their need of unirazak student for employment through traditional means like face to face, letters,  phone calls, emails and so on. 

There is actually no dedicated channel of communication for the student requests. The traditional system of student request mainly makes use of oral means of communication which makes it unofficial. After the request is placed by any employer the available means of notifying students are the notice boards, general announcement and emails which have proven not to be effective as only few students make use of them because all the means are usually flooded with too many information. The proposed system is aimed at automating and creating a dedicated channel for the student recruitment process.

Problem Statement

The existing system of the USRS is totally manual in nature and there is actually no dedicated channel of communication for employers to use in placing their requests for the recruitment of unirazak IT student. The system makes use of the traditional system of  communication for the student request process where the employers only informs the university staff of their need of unirazak student for employment through traditional means like face to face, letters,  phone calls, emails and so on.  After the request is placed by any employer the available means of notifying students are the notice boards, general announcement and emails which have proven not to be effective as only few students make use of them because all the means are usually flooded with too many information.
 

System Objectives

-          To automate the existing system of the USRS
-          To provide a dedicated channel of communication for placing request of employers to employ unirazak students.
-          To reduce the load on the SMS and email systems.
-          To facilitate the recruitment process of unirazak IT students.
-          To assist the Unirazak faculty of IT in showcasing their best students.
-          To assist employers and recruitment agents to make good choices when short-listing as the lecturer are able to make their recommendations of suitable candidates.
-          To allow employers and recruitment agents post vacancies.
-          To allow IT students in Unirazak to be able to apply for posted vacancies.
-          To earn some sort of income for Unirazak through advertisements.
-          To eliminate issues of forgery and or fake documents being used in the recruitment process as the employers can easily contact the faculty.
-          To assist in the recruitment for all job types like part-time, full time, internship and so on.
-          To help students decide suitable placement for internship through recommendation.


System Capabilities

-          Employers and recruitment agents have to register with a company name, password and a valid e-mail address.
-          Employers and recruitment agents would be able to post and update vacancies.
-          Employers and recruitment agents would be able to view lecturer’s recommendation and shortlist candidates.
-          Employers and recruitment agents would be able to advertise their companies’ products and services.
-          Employers and recruitment agents would be able to give feedbacks about students that they employed and also the system.
-          Staff of the faculty of IT and Students are automatically registered every semester just like the SMS
-          Staff of the faculty of IT would be able to recommend qualified candidates.
-          IT Students can view vacancies, post their resumes, apply for available vacancies, choose the job type they desire (part-time, full time) and also communicate with the employers or agents.
-          Successful candidates (students) would be able to give feedback about their employers and also the system.
-          There would be login capabilities varying from users to restrict unauthorized access and privileges.
-          The system generates a report based on the organizations, jobs posted, student applications and the successful recruitments monthly.
-          The system undergoes weekly updates and monthly revision. and can be expanded in the future to cater for all faculties in Unirazak.
